Administrative Assistant

The Southern Chiefs’ Organization (SCO) requires an Administrative Assistant to support the work of our Communications Team.

BACKGROUND:

SCO is a growing and dynamic regional First Nation organization that represents 34 Anishinaabe and Dakota Nations and more than 87,000 citizens in southern Manitoba. Established in 1999 by the Chiefs, SCO is mandated as an independent organization to protect, preserve, promote, and enhance First Nation peoples’ inherent rights, languages, customs, and traditions through the application and implementation of the spirit and intent of the Treaty-making process.

OVERVIEW:

The SCO Communications Team is looking for a professional to join us as our Administrative Assistant. The successful candidate will be a team player with a keen eye for detail who can work collaboratively to help the Communications Team deliver services.

The Administrative Assistant is a valuable member of the team whose duties include organizing a wide variety of information, responding to client requests, working with colleagues across the organization, and operating within tight deadlines on a wide variety of projects.

KEY RESPONSIBILITIES:

  • Answers phone, in-person, and email requests for communications support
  • Maintains several email addresses and organizes emails according to our filing system
  • Triages and directs requests or referrals to appropriate team members
  • Communicates with staff across the entire organization
  • Attends, coordinates, and takes minutes for a variety of meetings or gatherings, including preparing meeting agendas, packages, and materials
  • Provides administrative and organizational support to the team
  • Maintains calendar of events for SCO staff
  • Coordinates travel arrangements and itineraries
  • Assists in preparing and distributing reports, briefings, minutes, etc.
  • Provides technical assistance for presentations, meetings, and gatherings as required
  • Updates web and social media content
  • Provides reception coverage as required
  • May be required to travel on occasion

EDUCATION AND QUALIFICATIONS:

  • Minimum high-school diploma or GED; certificate or diploma in Office Administration is an asset
  • Minimum of two years of related work experience in an administrative role
  • Experience in updating or maintaining a website and/or social media
  • Experience with minute taking and editing or proofreading documents
  • Proficiency with the English language including a thorough grasp of spelling, punctuation, and grammar
  • Above average keyboarding skills at a minimum of 50 wpm
  • Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Adobe
  • Advanced skills in coordination and operation of online videoconferencing platforms such as Zoom and Microsoft Teams
  • Demonstrated competency in coordination, communications, and administration
  • Demonstrated ability to develop and maintain positive working relationships in a team environment with a strong focus on client service skills
  • Demonstrated organizational, problem-solving, and multi-tasking abilities
  • The ability to apply discretion when dealing with confidential or sensitive information
  • The ability to handle pressure and work well in a fast-paced organization in time-sensitive situations
  • Experience working with First Nation citizens is an asset

OTHER REQUIREMENTS:

  • A current and satisfactory Criminal Record Check with Vulnerable Sector Search
  • A valid class 5 MB driver’s license and access to a reliable vehicle for occasional business travel
