Research and Data Management – Executive Assistant

The Chiefs of Ontario is looking for a qualified and motivated individual for the position of Executive Assistant.  Working with the Executive Project Lead, Ontario Data Champion Team (DCT). The Executive Assistant provides support for the development and implementation of the First Nations Data Governance Strategy (First Nations Data Governance Strategy – The First Nations Information Governance Centre (fnigc.ca) (the Strategy). The Strategy seeks to achieve the vision for First Nations’ data sovereignty in Ontario and the development of a “made in Ontario” Information Governance Centre (IGC). In particular, the Executive Assistant contributes to the implementation of Ontario’s Regional Action Plan for Phase One of the Strategy comprised of several work streams leading to a Phase Two Business Case.

LOCATION:  Toronto, Ontario (Hybrid available)

DUTIES AND RESPONSIBILITIES:

  • Strong written and verbal communication skills are required to prepare materials for meetings, communications and ongoing engagement with team members, partners, First Nations, Tribal Councils and PTOs
  • Prepare background documents, reports, presentations, project updates and social media communications
  • Prepare progress reports for the Executive Project Lead and the Data Champion Advisory Committee
  • Project management:
  • Coordinate logistics, travel, and meetings
  • Attend and support note taking at Data Champion Advisory Committee meetings; disseminate summary of decisions, actions, and next steps;
  • Manage and respond to project related email;
  • Monitor the project budget, create purchase orders, including managing per-diems, equipment and supplies
  • Research and policy support: primary/secondary source research, analysis and syntheses of project related materials and resources
  • Receive training in using NVivo software for qualitative research
  • Organize, process and maintain project information, correspondence and communications
  • Expert organizational skills in order to manage work flows, communications and schedules

Qualifications:

  • University degree with 3 years of experience in a related coordinator/management role
  • Understanding of First Nations context, including the history of colonization in Canada
  • Ability to work as part of a team and in partnership with First Nations organizations and also work productively with minimal supervision
  • Strong ability to organize and execute medium and long-term projects

Successful candidate must be fully vaccinated against Covid-19.
