Jordan’s Principle Intake and Administrative Assistant

SCO is a growing and dynamic regional First Nation organization that represents 34 Anishinaabe and Dakota Nations and more than 87,000 citizens in what is now southern Manitoba. Established in 1999 by the Chiefs, SCO is mandated as an independent organization to protect, preserve, promote, and enhance First Nation peoples’ inherent rights, languages, customs, and traditions through the application and implementation of the spirit and intent of the Treaty-making process.

OVERVIEW:

Jordan’s Principle is named in memory of Jordan River Anderson, a young boy from Norway House Cree Nation. Jordan’s Principle is a child first initiative intended to ensure that First Nation children do not experience denials, delays, or disruptions of public services ordinarily available to other children due to jurisdictional disputes. The goal of the initiative is to connect First Nation children and their families with quality services, supports, and resources to achieve holistic outcomes.

The SCO Jordan’s Principle Program is looking for an accomplished, results-oriented professional to be its Intake and Administrative Assistant. The successful candidate will be an innovative thinker with superb client service skills that can work collaboratively to help First Nation children and families access the supports and services they need.

The Intake and Administrative Assistant is a valuable member of the team triaging and responding directly to client requests, working with families, other Jordan’s Principle staff, clinicians, vendors, and organizations focused on increasing health, disability, education, and tutor supports to ensure success for First Nations children.

KEY RESPONSIBILITIES:

  • Answers phone, in-person, and email requests for Jordan’s Principle services from families or external partners
  • Triages and directs requests or referrals to appropriate Jordan’s Principle team members
  • Communicates with staff from Jordan’s Principle at Indigenous Services Canada, Tribal Councils and First Nations regarding applications and/or referrals
  • Provides program information of a general nature
  • Provides administrative and organizational support to the Jordan’s Principle team
  • Data entry and recordkeeping
  • Sets up and coordinates all meetings in support of team efficiency
  • Maintains calendar of events
  • Coordinates travel arrangements and itineraries
  • Assists in the administration preparation and distribution of reports, briefings, minutes, and other types of correspondence
  • Prepares meeting agendas, packages, and distributes
  • Takes minutes during meetings and transcribing
  • Provides technical assistance for presentations, meetings and gatherings as required
  • Ensures all materials are prepared prior to event day; presentations, meetings, and gatherings
  • Processes mail, emails and maintains filing system
  • Office reception duties as required
  • Other duties as assigned

EDUCATION AND QUALIFICATIONS:

  • Minimum Grade 12 or GED; certificate or diploma in Office Administration is an asset
  • Minimum of 3 years related work experience in an administrative role
  • Basic familiarity with Jordan’s Principle is required
  • Experience working with First Nations citizens on, and off-reserve is an asset
  • Self-starter with demonstrated organizational and problem-solving skills, as well as multi-tasking abilities, and ability to work within a team environment
  • Demonstrates exemplary customer and client service skills
  • Demonstrate a high level of competency in coordination, communications, and administration
  • The ability to apply discretion when dealing with confidential or sensitive information
  • Able to handle pressure, works well in a fast-paced organization, in time-sensitive situations
  • Minute taking and proofreading skills
  • Excellent computer knowledge and keyboard skills. Knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Adobe is essential
  • Advanced skills in coordination and operation of online videoconferencing platforms such as Zoom and Microsoft Teams is essential

OTHER REQUIREMENTS:

  • Must provide a current and satisfactory Criminal Record Check with Vulnerable Sector Search
  • A valid class 5 MB driver’s license with access to a reliable vehicle for occasional business travel
