IPAA is hiring an Operations Coordinator starting January 3, 2016. The position is 15 hours per week, wage is $18 – 22/hr depending on experience. IPAA provides wellness reimbursement (in lieu of benefits), professional development and vacation time. Interviews will take place November 21 – 23 with an offer by early December.

Claiming space for all Indigenous performing artists

Indigenous Performing Arts Alliance (IPAA) became a federally incorporated national arts service organization in 2005. The Indigenous performance community has been mobilizing around an advocacy body for decades such as when, in the 90’s, leaders circled up on Métis Elder Maria Campbell’s land.

IPAA creates programs and resources to advocate for Indigenous performing artists by:

  • providing platforms for Indigenous performing artists to be recognized as leaders in their field
  • connecting the song lines and trade routes that have been active since time immemorial
  • ensuring Indigenous performing artists are at the centre of performance on the lands and waterways of Turtle Island [North America]

About you

Reporting to the Executive Director, the Operations Coordinator is one of the caretakers of the story of the Alliance. This arts leader will ensure our operations are in good standing so that we remain accountable to our Community of Artists [members].

The position will appeal to arts workers who thrive in a collaborative environment where individual initiative and critical contributions are valued. This person will be experienced in Excel, and will introduce systems and apps that streamline productivity. They will work efficiently with a modest operational budget that keeps the focus of our resources on claiming space for all Indigenous performing artists.

We are looking for administrative leaders with a minimum 2 years experience from any sector. Indigenous candidates will be strongly considered.

About the job

The Operations Coordinator [OC] will ensure the smooth running of IPAA by supporting the Executive Director, service contractor workers and the Grand Council [Board] representatives in day-to-day administration and program delivery. The OC will manage databases, liaise with the bookkeeper, manage all vendor relationships and office equipment, and ensure a smooth internal flow of information, including the Alliance operations critical path.

Operations

  • Support the Executive Director in the budgeting process and with maintaining the financials
  • Liaise with the Alliance Bookkeeper – code payables and deposits, reconcile Alliance credit card and bank accounts, file processed documents, lead in preparing materials for audit
  • Collaborate on the creation and tracking of the Alliance operations critical path
  • Coordinate Grand Council meetings, tracking Grand Council representative schedules and action items to ensure the successful running of the Grand Council
  • Support Executive Director in Grand Council reporting
  • Oversee office systems including: filing, maintaining office petty cash, bank deposits, order office supplies, ensure internet, telephone, and copier are functioning, etc.
  • Manage accounts payable and receivable
  • Liaise with all outside vendors, ensuring contracts and payments are up to date, and requesting service where necessary
  • Work with service contract workers to insure coordination and upkeep of Alliance IT, including communication tools, such as Dropbox, Asana, Trello and GoogleDrive

Membership & Program Support

  • Process donations, thank you notes, and provide monthly summary for website updates
  • Provide coordination support for communications, fundraising and Community of Artists [membership] drives
  • Maintain and update the list of Community of Artists, including processing all new and renewal applications, including updating the website, email lists and the Alliance database
  • Be a point of contact for, and prepare all documentation needed for Alliance programming
  • Maintain records related to Community of Artists, volunteer and personnel statistics and update CADAC and other agency reporting
