Administrative Assistant

(One Year Term Position)

Main Function:
To be responsible for managing, organizing, scheduling, reporting and maintaining information from all programs. Answering phones, fax machines etc.

Reports to: Employment and Training Manager

Duties:

• Using photocopiers, fax machines, postage metre and personal computers, create spreadsheets, compose email, manage databases ie ARMS, maintain paper and electronic files, create documents and handle travel arrangements.
• Is responsible for the reporting on a monthly basis.
• Answering phones, taking messages
• Manage the office when Manger is not in
• Help Clients with applications ie. EI, OAS and others
• Other duties assigned

Skills:

• Administrative assistants must be able to skillfully prepare statistical and written reports as well as presentations for management. General PC proficiency and strong skills in MS Word, Excel and PowerPoint are required, along with experience composing a number of types of professional documents.
• Administrative assistants need to be very organized, exude a positive image that reflects well on the organization and be familiar shipping, receiving and inventory control.

Working Conditions:

• Work weeks are 5 days, Monday to Friday, 8 hours per day, starting at 8:30 am to 4:30 pm.
• Exposed to noise and a regular flow of people around the office
• Work extensively with public

Employment Requirements:

• A high school diploma and basic office skills proficiency are generally the minimum requirements for entry-level positions
• Oral communication: Working with others
• Problem solving, decision making, job task planning and organizing
• Punctual, meticulous, reliable and able to work independently
